2.1 Account and Profile Information

  • Email address – Used for sign-in, password reset, and account recovery
  • Name – First name, last name, or full name for identification within your organisation
  • Organisation details – The organisation you belong to and your role (e.g. admin, staff)

2.2 Work-Related Data

  • Shift records – Start and end times, dates, clients, and related notes
  • Progress notes – Notes recorded during shifts
  • Incident reports – Details of incidents you report
  • Client assignments – Which clients you are assigned to work with
  • Receipt images – Photos of receipts you upload for expense tracking (taken with the camera or selected from your photo library)

2.3 Device and Technical Information

  • Device identifiers – Used for authentication and session management
  • App usage data – To improve the App and troubleshoot issues (minimal analytics, if any)

2.4 Permissions We Request

The App may request access to:

  • Camera – To take photos of receipts for expense tracking
  • Photo Library – To select existing photos of receipts for upload

You can decline these permissions; receipt upload will not work without them, but other App features will continue to function.

3. How We Use Your Information

We use your information to:

  • Provide the App – Record shifts, progress notes, and incidents; sync data with your organisation
  • Authenticate you – Sign-in via email/password or organisation-provided accounts
  • Store and sync data – Keep your records available across devices and share them with your organisation's administrators
  • Process receipts – Store receipt images for expense or reimbursement purposes
  • Support you – Respond to support requests and troubleshoot issues
  • Comply with law – Meet legal and regulatory obligations

4. How We Share Your Information

  • Your organisation – Shift records, progress notes, incident reports, and related data are visible to your organisation's administrators and authorised users
  • Service providers – We use third-party services to run the App:
    • Supabase – Database and authentication (hosted in Australia or as configured)
    • Microsoft Azure – Backend API and sync services
    • Microsoft Entra (Azure AD) – Organisation sign-in (if your organisation uses it)
    • Expo / EAS – App build and update delivery

We do not sell your personal information. We share data only as described above or when required by law.

5. Data Storage and Security

  • Data is stored in secure cloud infrastructure (Supabase, Azure)
  • We use industry-standard security measures, including encryption in transit and at rest
  • Access to data is restricted to authorised personnel and your organisation's administrators
  • Receipt images are stored in secure cloud storage

6. Data Retention

  • Account data – Retained while your account is active and for a reasonable period after deletion
  • Shift and work records – Retained according to your organisation's policies and legal requirements
  • Receipt images – Retained as needed for expense and record-keeping purposes
  • We may retain anonymised or aggregated data for analytics or improvement

7. Your Rights

Depending on where you live, you may have the right to:

  • Access – Request a copy of your personal information
  • Correction – Request correction of inaccurate information
  • Deletion – Request deletion of your personal information (subject to legal and organisational requirements)
  • Portability – Request your data in a portable format
